Expected, received or partial rent: keep a clear picture with Proprioo

Do not confuse amounts due with money received

A contractual amount is not yet money in your account. Keep three questions separate: what was expected, what actually arrived and what balance remains unexplained? This prevents treating a theoretical total as available cash. It also helps identify entry errors before contacting a tenant. Bank statements and the contract remain your checking documents.

Understand a partial payment

The Proprioo demo distinguishes expected, received and outstanding amounts. It also displays partial payments. Take a fictional example different from the demo: 900 euros due, followed by payments of 400 and 500 euros. Your records should explain that split. The initial 400-euro entry should not simply be overwritten without explanation. Each transaction’s date, reference and allocation matter as much as the final total.

Check before sending a reminder

A transfer may have arrived with an unusual reference or been assigned to the wrong month. Before a reminder, check unmatched transactions and any written arrangements. Then write a factual message identifying the period and the balance you observe. Invite the tenant to provide a payment reference if they believe it has been settled. This encourages quick resolution without turning an accounting discrepancy into unnecessary conflict.

Establish a monthly check

At month end, reconcile your records with available supporting documents. Keep a record of important corrections and sums requiring clarification. Do not mark something resolved merely because a message was sent. Resolution should mean an identified payment, a justified correction or a documented agreement. For formal procedures or disputes, have the appropriate steps checked by a qualified professional.

What the trial can establish

Proprioo lets you explore this process with demo data. The site states that direct bank access is not active and describes reconciliation through CSV imports. Do not mistake the screen for an automatic bank connection. Try fictional transactions and check the results. Demo changes remain in the browser: suitable backups and a suitable environment are essential before real use.
